Student Support Officer – Arts & Design

Job Purpose

The Student Support Officer is an administrative member of the faculty, responsible for fostering an effective and supportive relationship between students and the faculty. Reporting to the Vice Dean for Teaching & Learning, the role supports academic advising, case management, and engagement activities to enhance the overall student experience.

This role also requires active coordination with other university departments and offices that provide corresponding student services, to ensure consistency and alignment of efforts.

Job Responsibilities

· Serve as the main administrative liaison between students and the faculty.

· Assist students with academic and non-academic concerns, including complaints, appeals, and impaired performance forms.

· Coordinate student induction programs and participate in the advising process.

· Provide support for students with academic, personal, or medical issues, ensuring appropriate follow-up and reporting.

· Ensure the implementation and monitoring of the faculty’s personal tutor system.

· Organise and follow up on meetings with parents and respond to student inquire effectively.

· Support communication between students, parents, and faculty departments.

· Follow up on decisions and cases from the Impaired Performance (IP), Misconduct, and Appeal Committees.

· Assist in resolving student issues in alignment with university policies and regulations.

· Attend (SSLC) meetings, track issues raised, and communicate outcomes to student.

· To work collaboratively with the Vice Dean in managing the relationship with the students.

· Assist in managing the examination process, including invigilation timetables and accommodation for students with special needs.

· Review and support the transfer student files in coordination with Student Affairs.

· Maintain accurate documentation and support administrative processes related to student matters

· Coordinate student events, sports, and extracurricular activities in collaboration with relevant departments.

· Participate in faculty open days, student recruitment, and outreach activities. · Undertake other duties as reasonably may be required by the Dean and Vice Dean.

Job Requirements

Educational Qualifications · Bachelor’s degree in Psychology, or any relevant field.

Experience · Minimum of 5 years’ experience in higher education administration or student support services. · Demonstrated experience in student case management, academic advising, or university student engagement..

Technical Skills · Strong written and verbal communication skills in English. · Proficiency in Microsoft Office and student information systems. · Strong organisational skills with the ability to manage multiple tasks efficiently. · High attention to detail and accuracy in record-keeping and document handling.
