Senior Admin Assistant- Faculty of Tourism and Hotel Management

Job Purpose:

The Senior Admin Assistant is responsible for a high level of administrative and secretarial support to the direct manager, ensuring the smooth and efficient operation of the office. This role involves coordinating schedules, managing communication, organizing meetings, and supporting various projects and initiatives led by the direct manager.

 

Job Responsibilities:

  1. Manage calendars, scheduling appointments, meetings, and events.
  2. Screen and prioritize incoming calls, emails, and correspondence, providing responses on behalf of the direct manager when appropriate.
  3. Prepare, review, and refine official documents, reports, and presentations with minimal supervision.
  4. Maintain confidentiality and handle sensitive matters.
  5. Coordinate high-level meetings, prepare comprehensive agendas, and track follow-up actions to closure.
  6. Organize virtual and in-person meetings, ensuring seamless execution and stakeholder alignment.
  7.  Build and maintain strong working relationships across departments, senior leadership, and external partners.
  8. Support recruitment processes by coordinating interview schedules, preparing recommendation sheets, and liaising with HR.
  9.  Maintain an efficient filing and documentation system while ensuring control and accuracy.
  10. Ensure smooth daily operations of the office, including managing office supplies and equipment.
  11. Support the planning and execution of key events, initiatives, and projects, providing logistical and administrative leadership.
  12. Monitor the progress of assigned projects, providing updates and reports as needed.
  13. Undertake various duties as assigned by line manager.

 

Job Requirements:

Educational Qualifications:

- Bachelor’s degree in Business Administration, Management, or a related field.

- Certification in office administration is an advantage.

 

Experience:

- Minimum 3 years of experience in administrative or assistant roles.

- Previous experience in an academic or higher education setting is highly desirable.

 

Technical Skills:

  1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  2. Familiarity with scheduling software and virtual meeting platforms (e.g., Zoom, Teams).
  3. High level of attention to detail and problem-solving skills.
  4. Ability to work independently and under pressure.
